One of the things I enjoy most about what I do is the maturation of the technology which I use. And so it was with great pleasure that I was playing about in Teams this week in a Ring 4 test tenant getting ready for AMS Germany when I saw that calendar view for Lists has dropped. I didn’t see any announcements. Maybe it’ll be on the SharePoint Pitstop next week. But why I was excited was because when Lists was first announced back at Build earlier in the year, it was confirmed it would have List, Gallery, Grid and Calendar views. Gallery was added a month or two back – it was after Lists was introduced into Teams and now we have Calendar to complete the set. You see, I have become a big advocate of Lists over the last four or five months. I have spoken about it a lot on the circuit. This is because I think it is very central to what Microsoft is doing to revitalise SharePoint and is the application which best defines Teams as a Platform (TaaP). But getting back on point, calendar view is a nice add. Use it for events. Use it for meetings. Use it for birthdays, or deadlines, or schedules. This opens up a whole new raft of use cases for how Lists can be used – both in the web app and in Teams. It can apply both to personal and team Lists

This blog will cover

  • Creating a Calendar View in the Web App
  • Adding an item to Calendar view in the Web App
  • Removing an item from Calendar view in the Web App
  • Saving Calendar View as the Default view in the Web App
  • Creating a Calendar View in the Lists App in Teams
  • Adding an item to Calendar view in the Lists App in Teams
  • Removing an item from Calendar view in the Lists App in Teams
  • Saving Calendar View as the Default view in the Lists App in Teams

This blog will assume that you already have a List created. If not, please see Microsoft Lists Fundamentals Part 1 how to get started

Pre-requisites

  • SharePoint & Teams Licences (Both in Office/Microsoft 365 Subscription)

HOW TO CREATE A CALENDAR VIEW IN THE WEB APP

1.) You are on the Lists Web App Home page. Select the list you wish to create a calendar view for. This example will use a Team List as opposed to a Personal List

2.) Select All Items and from the drop down select Create New View

3.) Select a name for the view. Show as Calendar

The start and end dates determine where/when the list items will show on the calendar view. If the List Item has a date and time field associated then it will show on the calendar view at that specific date and time. This would be required, for example in a scenario if you were building a calendar view for events. If the List has no date/time column then it will only show created and modified. A start/end date on the calendar of created or modified would be used in a scenario where no date and time is associated with the List Items, I.e. if you were tracking when List Items were first created or last modified

Tick if you want to make the view a public view where all members will be able to see and use the view. The advanced options will give you the ability to set the title of the List Item in the calendar view

Select create once done

4.) The Calendar View is created

HOW TO ADD AN ITEM TO CALENDAR VIEW IN THE WEB APP

1.) Select New on the top left of the screen or hover over the day on the top right of the box and select New. This will begin the creation of a new list item

HOW TO REMOVE AN ITEM FROM CALENDAR VIEW IN THE WEB APP

1.) Click once on the item and at the top of the page select Delete

HOW TO SAVE CALENDAR VIEW AS THE DEFAULT IN THE WEB APP

1.) When calendar view is selected select Set Current View as Default

HOW TO CREATE A CALENDAR VIEW IN TEAMS

1.) You are in Teams on the tab of the created list. This example will use a Team List as opposed to a Personal List

2.) Select All Items and from the drop down select Create New View

3.) Select a name for the view. Show as Calendar

Our job here is done

Have a go and get hands on with creating a List and then setting calendar view. A great functionality add for Lists which now has List, Gallery, Grid and Calendar views. Looking forward to rules when they are released within the next month or so
